If you’re an installer, it’s highly likely you’re messaging customers on WhatsApp. It’s just faster than email and feels more direct when something like “we noticed you didn’t pick up, is tomorrow at 2pm better?” or “just a reminder we’re stopping by for your site visit tomorrow at 11 am.” needs to land right now, not sit in an inbox for a few hours.

Your customer isn’t logged into a portal refreshing their project status, they’re at work, at home, or out doing something that has nothing to do with you, and the message needs to reach them the moment it matters, on the one app that’s basically always open on their phone.

The problem isn’t whether you use WhatsApp, it’s that you’re doing it by hand and it is disconnected from every bit of project information you actually have. With OpusFlow, WhatsApp integration runs through CommuniQate, so you don’t have to do any of that manual work yourself.

What is CommuniQate?

So, who’s actually behind all this? CommuniQate is an official WhatsApp Business Partner, built in Europe, and it’s the platform powering your WhatsApp integration inside OpusFlow. Think of it as the piece of tech that turns WhatsApp from something you use personally into something your whole business can run on, properly and automatically, instead of from one person’s phone.

You’ve probably come across the free WhatsApp Business App before, and honestly, it’s a decent place to start. But the moment WhatsApp becomes something your business actually depends on, you reach its limits pretty fast. Everything lives on one device, nobody has a clear overview of what’s going on, follow-ups only happen if someone remembers to send them, and there’s no way to connect it to anything else you use.
CommuniQate exists to get rid of exactly that ceiling. Your whole team can jump into conversations, reminders and follow-ups run on their own in the background, you get one dashboard that shows everything at a glance, and it plugs directly into the tools you’re already working in, OpusFlow included.

And here’s the part that really explains why this matters. Based on CommuniQate’s research, roughly 70% of WhatsApp messages get opened, and people tend to reply about three times faster in chat than they would to an email or a missed call. CommuniQate isn’t reinventing anything here, it’s just taking a channel that was already working better than most, and making it something your whole team can actually run on.

How does WhatsApp integration work in OpusFlow?

Let’s walk through it, because once you see it in action, it’s honestly hard to imagine going back to doing this by hand.

Everything starts with a quick 3-step setup.

  1. Create an account at CommuniQate.
  2. Head into your OpusFlow settings, click CommuniQate in the integration list and you will find your Account ID and API key.
  3. Drop Account ID and API key into CommuniQate, and the two systems are connected.

That’s the whole setup, and you never have to touch it again.

Once that’s in place, everything happens inside the Automations you’re already using within OpusFlow.

  1. Open Automations within OpusFlow Management module.
  2. Create a new Automation.
  3. Set your Trigger, for example, “an installation gets marked as complete” and fill in Conditions, if necessary.
  4. Move to Action, and simply choose CommuniQate as your Action Type from a drop-down list.
  5. In Configuration fill in the Contact ID, to clarify which client this message belongs to.
  6. Select the Message Template you want to send.
  7. Click the button Save and the automation is set up.

Note: the message template needs to already exist in your CommuniQate portal before you can pick it here, so it’s worth setting up your templates first, then building the automation around them.

Now here’s the part installers usually get excited about. You don’t need to go looking for a customer’s phone number yourself. The Contact ID connects straight to the client record you already have in your system, and your integration handles the rest. No copying numbers, no double-checking you grabbed the right one from the right project.

And the message doesn’t land in any separate dashboard you have to check. It goes straight into that customer’s actual WhatsApp chat, the one on your phone, right there next to every other conversation. You don’t have to scroll through fifty chats trying to remember which “Jan” you’re looking for. The system already knows, and it sends it directly to the right person, at the exact moment your automation says it should.

From there, you can build this out as far as you want. A missed call triggers a follow-up message. A finished installation triggers a satisfaction check. A good rating triggers a review request, a lower one triggers an internal note to your back office. One trigger leads to the next, and you’re not the one keeping track of any of it.

Who benefits from the integration

Short answer: pretty much everyone on your team, just in different ways. Let’s take a look at it closely.

Your lead funnel gets faster

Every installer knows the pain of chasing a new lead who just won’t pick up the phone. Every hour you wait, that lead gets colder, and in a market where leads aren’t cheap, that’s money slipping away.

This is where an integration quietly does its best work. If a new lead doesn’t answer your call, an automatic WhatsApp message goes out right away, and more often than not, you get a reply with a specific time to call back. Suddenly you’re not calling blindly anymore, you’re calling exactly when your client is ready to pick up.

The sales team stays on top of quotes

Once a quote goes out, it’s easy for a lead to go quiet, not because they’re not interested, but because life gets in the way or they are simply becoming busy with other daily responsibilities. A simple automated follow-up, just checking if everything in the quote is clear, keeps you in the conversation without anyone on your sales team having to remember to send it.

Your schedulers avoid one of the most expensive mistakes

A closed door. If you’ve ever shown up for a site visit and nobody’s home, you know exactly how costly that is, in time, fuel, and a wasted slot that could’ve gone to someone else. Automatic reminders for site visits and installations solve this quietly in the background, and your planning team doesn’t have to chase a single customer to make it happen.

A service team gets a direct read on customer satisfaction

After an installation wraps up, a short automated WhatsApp message can ask how it went and end with a simple rating request. Four stars or more, and the client gets asked if they’d like to leave a review. Three or fewer, and instead of that frustration disappearing into silence, your back office gets an automatic heads up to follow up before it turns into a real problem.

And for the company as a whole?

Every one of these moments, the follow-up call, the reminder, the satisfaction check, used to take someone sitting down and manually sending a message. Now it just happens. That’s less admin for your team, more leads that actually convert, fewer missed appointments, and more good reviews landing without anyone having to ask twice. It’s simply an easier way for your clients to reach you, and for you to actually reach them, right where they already are.
